Terms of Service
Last updated 27 September 2026
These terms are the agreement between you and W12 Systems LLC d/b/a CiderPilot(“we”), the operator of CiderPilot. By creating an account you accept them. If you are accepting on behalf of a cidery, you are confirming you may bind that business.
What the service is
CiderPilot is production record-keeping software for cideries. It tracks fruit purchases, pressing, fermentation, packaging and inventory, and it prepares figures for federal excise reporting.
It prepares those figures; it does not file them, and it is not a substitute for your own review. You remain responsible for what you submit to the TTB or to any other authority, and for the accuracy of the measurements you enter. We are not your accountant, and nothing the software produces is tax or legal advice.
Your account
You are responsible for what happens under your accounts, including keeping passwords private and removing people who leave. Tell us at support@ciderpilot.com if you believe an account has been compromised.
Each cidery’s records are isolated from every other cidery’s. You may add as many people to your own organization as you like; the price does not change.
Trial, price and payment
- The trial runs for 14 days and does not ask for a card. If you add no payment method, the subscription simply does not start.
- After that, the CiderPilot Cidery plan costs $20 a month billed monthly, or $216 a year billed annually, in advance, for your whole cidery and any number of users.
- Payments are processed by Stripe. We do not see or store your card number.
- Prices may change, but not during a billing period you have already paid for, and we will tell you at least 30 days beforehand.
- Fees are exclusive of any sales tax we are required to collect.
Automatic renewal
Your subscription renews automatically at the end of each billing period — every month, or every year on annual billing — until you cancel. When you subscribe, you authorize us, through Stripe, to charge the payment method you add the price of your plan ($20 a month, or $216 a year), plus any applicable tax, at the start of each billing period. You can switch between monthly and annual billing from the billing page: moving to annual bills the year straight away, less any unused part of the current month; moving back to monthly takes effect when the paid year ends. The trial never converts into a paid subscription on its own: nothing is charged until you add a payment method and subscribe. We will email you before any change to the price takes effect, as described above.
Cancelling
You can cancel at any time, without giving a reason: from the billing page in CiderPilot (Billing → Manage billing), or by emailing support@ciderpilot.com. Cancelling stops all future renewals. It takes effect at the end of the period you have already paid for — you keep access until then, and we do not refund the remainder of a month or year.
We may suspend an account for non-payment, or close one for repeated abuse or unlawful use. Except where the law or an emergency requires otherwise, we will give you notice and a chance to fix the problem first.
Your records are yours
You own the records you put into CiderPilot. You grant us only the permission needed to host, process, back up and display them so the service works. We do not sell them, use them to train models, or share them with advertisers.
You can export your data at any time while your subscription is active. After an account closes we keep the records for 30 days so an accidental cancellation is recoverable, then delete them. Ask us sooner and we will delete them sooner. See the Privacy Policy for what we collect and who else processes it.
Availability
We work to keep CiderPilot available and to keep backups, but we do not offer a guaranteed uptime figure at this price, and the service is provided “as is” without warranties of any kind, to the extent the law allows. Cidery production records matter: keep your own copies of anything you would be unable to reconstruct.
Limits on liability
To the extent the law allows, neither side is liable for indirect or consequential losses, including lost profits or lost production. Our total liability for any claim is limited to what you paid us in the twelve months before it arose.
Nothing here limits liability that cannot lawfully be limited, including for fraud.
Changes to these terms
We may update these terms. If a change materially reduces your rights we will give you at least 30 days’ notice by email, and continuing to use CiderPilot after it takes effect means you accept it. If you do not, you may cancel.
Governing law
These terms are governed by the laws of the State of Colorado, without regard to its conflict-of-law rules, and the state and federal courts located in Colorado have exclusive jurisdiction.
